WILDERNESS HOTELS BOOKING, PAYMENT AND CANCELLATION TERMS
All terms on this page are applicable only to direct bookings made on our website or through our sales office. If you have booked through a third party, please refer to the terms stated on the booking confirmation received from the used booking channel.
PAYMENTS & CANCELLATIONS
The below payment & cancellation terms are applied on bookings confirmed on 1st of October 2026 or after.
Applicable terms for bookings confirmed before 1st of October 2026 can be found at the bottom of this page.
General cancellation terms
- All cancellations and modifications must be submitted by email. A cancellation is considered to have occurred when the Wilderness Hotels sales office (sales@wildernesshotels.fi) receives it in writing during office hours in Finland, no later than 16:00 local time. If a cancellation is received after this time, it is considered to have been received on the following day.
- Bookings made through the website may also be cancelled through the online Guest Panel accessible from the booking confirmation email.
- The cancellation policies apply whether the customer is cancelling an activity, accommodation reservation, extra service or ready-made package.
- If a reservation is cancelled within the free cancellation period, the amount paid will be refunded within seven days of the cancellation request being submitted.
- Refunds for eligible cancellations will be processed only by the original payment method.
- In the event of a no-show or early departure, a cancellation fee of 100% of the reservation value applies.
- We strongly recommend comprehensive travel insurance to cover cancellation costs arising from illness, travel disruption, or other unforeseen circumstances. The hotel is not required to accept cancellation free of charge based on a medical certificate or any other equivalent document.
WINTER PACKAGE BOOKINGS
These payment and cancellation terms apply to all reservations for our ready-made Winter packages.
PAYMENT TERMS
- A 30% deposit payment will be charged at the time of booking.If the deposit payment is not received within one week after confirming the reservation, Wilderness Hotels reserves the right to cancel the reservation without notice.*
- The remaining 70% balance will be charged 90 days prior to arrival.
- For reservations made 90 days or less before arrival, the full reservation value is charged at the time of booking
CANCELLATION TERMS
Winter & Holiday season

- For cancellations made 91 days (or more) prior to arrival, a cancellation fee of €50 per reservation applies. Any amount paid exceeding the €50 cancellation fee will be refunded to the original payment method.
- Cancellation fee of 30% is applied, when the cancellation is made 90-61 days before the arrival date.
- Cancellation fee of 100% is applied when the cancellation is made 60 days or less before the arrival date.
Christmas season

- The 30% deposit payment is non-refundable from the time of booking. *
- Cancellation fee of 100% is applied when the cancellation is made 90 days or less before the arrival date.
*Exceptions for email bookings through the sales office
If a booking for a future Winter season is made before the previous May, these conditions are applied:
- The 30% deposit will be collected after 1st of May. If the deposit payment is not received within one week after receiving the payment request, Wilderness Hotels reserves the right to cancel the reservation without notice.
- The cancellation fees are applied from 1st of May onwards. Before that there are no cancellation fees applied.

Special Booking Conditions for the Period 1.12. -20.3.
- NELLIM, INARI, MUOTKA & NANGU: Minimum stay in rooms, cabins, aurora accommodations, suites, and apartments is 3 nights.
- JUUTUA, SAARISELKÄ, KIEPPI & KELO LODGE: Minimum stay in rooms, cabins, aurora accommodations, suites, and apartments is 3 nights between 14.12.-6.1. and 29.1.-5.3. On other dates, the minimum stay is 2 nights.
- Half-board supplement is mandatory in all hotels throughout the winter season.
- 2-night stays: minimum two (2) activities per person must be pre-booked at the time of reservation.
- 3-night stays: minimum three (3) activities per person must be pre-booked at the time of reservation.
- 4–7-night stays: minimum four (4) activities per person must be pre-booked at the time of reservation.
PAYMENT TERMS
- A 30% deposit is to be paid upon booking. If the deposit payment is not received within one week after confirming the reservation, Wilderness Hotels reserves the right to cancel the reservation without notice.
- The remaining balance is due 90 days prior to arrival.
- For reservations made 90 days or less before arrival, the full reservation value is charged at the time of booking.
- If the reservation value is under €1,000, the full amount will be charged with a single invoice due 90 days prior to arrival.
CANCELLATION TERMS
- For cancellations made 91 days (or more) prior to arrival, a cancellation fee of €50 per reservation applies. Any amount paid exceeding the €50 cancellation fee will be refunded to the original payment method.
- Cancellation fee of 100% applies from 90 days prior to arrival onwards.
Summer 2027 (16.4.2027-31.8.2027)
PAYMENT TERMS
- Full payment is due 14 days prior to arrival.
CANCELLATION TERMS
- Free cancellation until 15 days prior to arrival.
- Cancellation fee of 100% applies from 14 days prior to arrival onwards.
Autumn 2027 (1.9.2027-14.11.2027)

OTHER TERMS & CONDITIONS
General booking conditions
- Our guests are fully responsible for informing the hotel of their flight details and any special dietary requirements no later than seven days prior to arrival. We may not be able to arrange airport transfers or special meals without this information.
- For compelling reasons, the hotel reserves the right to move reservations to another hotel of the same standard. The hotel will compensate for any immediate additional costs arising from such a change. The hotel operates in accordance with Finnish legislation.
- Kindly be advised that all Wilderness Hotels operate as cash-free establishments and accept credit card payments only.
Date modifications
- If a date change is requested for entirely new dates, the change can be made free of charge* if the request is made within the free cancellation period (subject to availability). *No modification fee applies, but if the new travel dates fall within a different pricing season, any price difference must be paid.
- If the change is requested after the free cancellation period, the change is considered and handled in the same manner as a cancellation.
- Reservation modifications may result in a recalculation of the reservation value based on the rates valid at the time of the modification.
- Dates cannot be changed to the following winter season.
Activity booking conditions
(Applicable also to activities included in ready-made packages)
- Activity durations are estimated and may vary due to road conditions, weather conditions, travel conditions, or other unforeseen circumstances. Wilderness Hotels reserves the right to make changes when necessary for safety reasons.
- To drive a snowmobile, guests must be at least 18 years old and hold a driving license valid in Finland. Driving under the influence of alcohol is prohibited by Finnish law.
- Children under 15 years of age participate in snowmobile safaris in a sleigh for safety reasons.
- For safety reasons, infants under 3 years old cannot participate in activities.
- For safety reasons, pregnant guests cannot participate in husky safaris, reindeer sleigh rides or activities involving snowmobiles or snowmobile sleigh rides. Alternative activity arrangements can be made in these cases.

ONLINE BOOKINGS THROUGH OUR WEBSITE
Winter package bookings:
20% deposit payment will be charged at the time of booking.
The remaining 80% deposit will be charged automatically 90 days before arrival.
If your arrival is less than 90 days away, the 80% deposit will be charged together with the 20% deposit payment at the time of booking.
Cancellations: Each paid deposit is non-refundable.
Other bookings:
Received 100% payment will confirm your booking.
Cancellations:
- Bookings for period 15.4. - 31.8.2026: free cancellation until 14 days prior to arrival
- Bookings for period 1.9. - 14.11.2026: free cancellation until 30 days prior to arrival
- Bookings for period 15.11.2026 - 15.4.2027: free cancellation until 90 days prior to arrival
- If the reservation is cancelled within the free cancellation period, the amount paid will be refunded within 7 days after the cancellation was submitted.
- If the cancellation is submitted after the free cancellation period or the guest does not show up at all, the property will charge 100% cancellation fee.
BOOKINGS VIA EMAIL FROM OUR SALES OFFICE
AUTUMN 2026 (1.9. - 14.11.2026)
Full deposit payment 42 days prior to arrival.
Cancellations:
- No cancellation fee until 42 days prior to arrival
- 30% cancellation fee 42-31 days prior to arrival
- 50% cancellation fee 30-15 days prior to arrival
- 100% cancellation fee less than 15 days prior to arrival
WINTER 2026–2027 (15.11.-14.12.2026 & 04.01.-11.04.2027)
- 30% deposit to be paid upon booking. If the deposit payment is not received by the due date, Wilderness Hotels keeps the right to cancel the reservation without notice.
- For reservations made before 1st of May 2026, a deposit invoice of 30% will be sent in May 2026.
- If the reservation’s value is under 1000€, the whole amount will be charged with one invoice 6 weeks before arrival (exception: Christmas season – 15th of September).
- Remaining balance is to be paid 6 weeks before arrival. Under 6 weeks to arrival, the full payment is to be paid at the time of reservation.
Cancellations:
- Cancellation free of charge when cancellation is made before 1st May 2026.
- For cancellation made after 1st May 2026 and at least 6 weeks before arrival, cancellation fee is 50€.
- Cancellation fee 50% when the cancellation is made between 6 weeks and 30 days before arrival.
- Cancellation fee 100% when the cancellation is made 29 days or less before arrival.
CHRISTMAS & NEW YEAR (15th Dec 2026 – 3rd Jan 2027)
- 30% deposit to be paid upon booking. If the deposit payment is not received by the due date, Wilderness Hotels keeps the right to cancel the reservation without notice.
- For reservations made before 1st of May 2026, a deposit invoice of 30% will be sent in May 2026.
- Remaining balance to be paid by 15th of September 2026.
- If the reservation’s value is under 1000€, the whole amount will be charged on the 15th of September 2026 upon booking if done later.
Cancellations:
- Cancellation free of charge when cancellation is made before 1st May 2026.
- Cancellation fee 30% when cancellation is made between 1st May – 15th Sept 2026.
- Cancellation fee 100% when cancellation is made after 15th Sept 2026.
