Booking from Wilderness Hotels online booking system

• Received 100% payment will confirm your booking.
   
• Cancellations:
  - Bookings for period 15.4.-31.8.2024: free cancellation until 14 days prior to arrival
  - Bookings for period 1.9.-30.11.2024: free cancellation until 30 days prior to arrival
  - Bookings for period 1.12.2024-31.3.2025: free cancellation until 90 days prior to arrival
   
• If the reservation is cancelled within the free cancellation period, the amount paid will be refunded within 7 days after the cancellation was submitted.
• If the cancellation is submitted after the free cancellation period or the guest does not show up at all, the property will charge 100% cancellation fee.

These terms are applicable for online bookings made directly through Wilderness Hotels website. When using a third-party booking channel, please check the applied terms from the channel used.

Booking via email from our sales office

Autumn 2024 (1.9.-17.11.2024)

• Received 100% payment will confirm your booking.
• Cancellations:
  - Free cancellation until 30 days prior to arrival

Winter season 2024–2025 (18.11.-14.12.2024 & 7.1.-20.4.2025):

• 30 % deposit to be paid upon booking*. If the deposit payment is not received by the due date, Wilderness Hotels keeps the right to cancel the reservation without notice.
• The remaining balance is to be paid 6 weeks before arrival. When the booking is made less than 6 weeks before arrival the full payment will confirm the reservation. If the reservation’s value is under 1000€, the whole amount will be charged upon booking.
   
• Cancellations:
  - For cancellations made at least 6 weeks before arrival, cancellation fee is 50€
  - Cancellation fee is 50% when the cancellation is made 6 weeks – 15 days before arrival
  - Cancellation fee is 100% when the cancellation is made 14 days or less before arrival
  
  - All cancellations and modifications must be done by email. A cancellation is considered as having occurred when Wilderness Hotels sales office (sales@wildernesshotels.fi) receives it in writing during office hours in Finland, by 16:00 local time. If a cancellation is received later than this time, it is considered to have been received the following day. The following cancellation policies apply according to whether the customer is cancelling an activity, accommodation or ready made package.

Christmas & New Year 15^th Dec 2024 – 6^th Jan 2025:

• 30 % deposit to be paid upon booking*. If the deposit payment is not received by the due date, Wilderness Hotels keeps the right to cancel the reservation without notice.
• The remaining balance is to be paid by 1^st of Oct 2024. When the booking is made after 1^st of October, the full payment will confirm the reservation. If the reservation’s value is under 1000€, the whole amount will be charged upon booking.
   
• Cancellations:
  - Cancellation fee is 30 % when the cancellation is made 1.5.-30.9.2024.
  - Cancellation fee is 100% when the cancellation is made after 1^st of October.

OTHER CONDITIONS:

• During 1.12.2024-20.3.2025 the minimum stay in rooms, cabins, suites, and apartments is 3 nights. Aurora accommodation can be booked for 2 nights stay between 1.-14.12.2024 and 7.1.-20.3.2025.
• Half-board supplement is mandatory in all hotels for the whole winter.
• Activity bookings:
  • 1-2 night stay: minimum one activity is to be pre-booked at the time of reservation.
  • 3 night stay: minimum two activities are to be pre-booked at the time of reservation.
  • 4-7 night stay: minimum 3 activities are to be pre-booked at the time of reservation.
• Activity durations are estimated times, and may vary due to road, weather or travel conditions or other unforeseen circumstances. Wilderness Hotels reserves the right to all changes if necessary due to safety reasons.  
• To drive a snowmobile you must be at least 18 years of age and have a driver’s license that is valid in Finland. Driving under the influence of alcohol is prohibited by law.
• Our guests are fully responsible for informing their flight details and special diets to the hotel latest seven days before arrival. We will not be able to arrange airport transfers or special meals without the information.
• For compelling reasons, the hotel reserves the right to move bookings to another hotel of the same standard. The hotel compensates for the immediate costs. Hotel operates according to Finnish legislation.
• The hotel recommends travel insurance to cover any unexpected costs. The hotel is not required to accept a cancellation free of charge, for example by providing a medical certificate or any other equivalent document.
• For safety reason, infants between 0-2 years, cannot participate in activities.
• Kindly be advised that all Wilderness Hotels operate as cash-free establishments, accepting only credit card payments.
